Workflow Integration for Chat Agents

Step 1: Enable Workflow in Calendly

1. Navigate to the Application section.

2. Locate and open the Calendly app.

   Enable the following toggles:

   • Enable Calendly Read
   • Enable Calendly Create
3. Click Save to apply the changes.

Step 2: Create a Chat Agent

1. Go to the Chat Agents menu.
2. Click Create Chat Agent.
3. Fill in all the mandatory fields based on your requirements.
4. Click Save to create the chat agent.

Step 3: Configure Workflow for the Chat Agent

1. Open the Chat Agent you created.
2. Navigate to the Workflow section.
3. From the Application dropdown, select Calendly.
4. Choose the Calendly accounts where meetings can be scheduled.
5. Click Save to apply the settings.

Step 4: Enable Overlapping Bookings

To allow booking of appointments even when the time slot is already booked:

• Enable the option "Allow agent to book an appointment even if the event is already scheduled."
• This allows the agent to schedule meetings at any time, regardless of existing bookings.

Step 5: Restrict Meeting Purpose

• You can restrict the purpose of the meetings as per predefined instructions or business rules.
• This ensures that only meetings with valid objectives are scheduled through the chat agent.

Step 6: Verify Integration

• After configuration, ensure that:
  • The chat agent can successfully schedule meetings for the mapped Calendly account.
  • All meeting bookings are properly reflected in Calendly.
